How Pastin Solutions collects, uses, stores and protects personal information in the TAIIP Truck Track application.
TAIIP Truck Track (“the App”) is developed and operated by Pastin Solutions Pty Ltd (ABN 28 641 823 663) (“Pastin Solutions”, “we”, “us”, “our”), PO Box 2532, Malaga WA 6944, Australia.
We are the data controller for personal information collected through the App, except where the App is supplied to you by your employer or a fleet operator under a business agreement with us. In that case, that organisation is the controller of your operational data and we act as a processor on their instructions. Section 12 explains what this means for you.

The officer accountable for privacy at Pastin Solutions is the Managing Director.
This policy covers the TAIIP Truck Track application on Apple iOS and Google Android, its associated backend services, and the web portal at trucks.pastinsolutions.com. It applies identically on both platforms; where a difference exists it is noted in the relevant section. It does not cover third-party websites, carriers, depots, or customer systems that the App may link to or exchange data with.
By downloading or using the App, you confirm you have read this policy.

The App collects the device’s precise geographic location, including while the App is in the background or closed, when you are signed in.
We use location data to:
Location is recorded approximately every 2 seconds while you are signed on to a truck. When you sign off the truck, location collection stops and no further position data is recorded until you sign on again. We do not collect your location while you are signed off. You can disable location access at any time in iOS Settings or Android Settings, but the App’s core tracking functions will not work without it.
On Android, background location is collected through a foreground service. A persistent notification is shown on your device for as long as tracking is running, so you can always see when the App is recording your position.
The App uses your device’s microphone for push to talk voice communication, which works like a CB or UHF radio. The microphone is active only while you are transmitting.
The radio stays available while the App is in the background, so you can hear a call without the App on screen. It only transmits while you are pressing to talk.
Voice is transmitted live and is not recorded or stored. We do not keep audio files, we do not listen in the background, and we do not record ambient audio.
We do not collect your mobile or telephone number. We do not capture or store handwritten signatures. We do not collect payment card details, health information or biometric identifiers, and we do not access your contacts or call history. The only photographs we hold are those you deliberately capture in the App for a pre-start check or a damage or defect report.

You can change these at any time in iOS: Settings > Privacy & Security, or Android: Settings > Apps > TAIIP Truck Track > Permissions.
On Android the App declares INTERNET, ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION, ACCESS_BACKGROUND_LOCATION, FOREGROUND_SERVICE, FOREGROUND_SERVICE_LOCATION, FOREGROUND_SERVICE_MICROPHONE, POST_NOTIFICATIONS, RECORD_AUDIO, MODIFY_AUDIO_SETTINGS, CAMERA, the Bluetooth permissions, and WAKE_LOCK.
RECORD_AUDIO is the Android name for microphone access. It is required to open the microphone at all, including for a live only radio, and it does not mean audio is recorded to a file. Nothing you say on the radio is stored.
Some Android devices additionally require battery optimisation to be disabled for the App so that tracking is not suspended by the operating system.

We use personal information to:
We do not sell personal information. We do not use your data for third-party advertising, and we do not share it with data brokers.
Under the Australian Privacy Act 1988 (Cth) we handle personal information in accordance with the Australian Privacy Principles.
Each third-party provider handles data under its own privacy policy.
All information collected through the App is stored and processed in Australia. We do not transfer your personal information overseas, and we do not permit our service providers to store it outside Australia.
Some technical infrastructure we rely on may be operated by companies headquartered overseas, but the data itself remains in Australian data centre regions. If this changes we will update this policy and notify you before any overseas transfer occurs.

Where your operator is the controller of the data, retention is set by their contract with us and their own obligations. After the retention period we delete or irreversibly de-identify the information.
We protect your information with:
No system is completely secure. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme, and any other regulator we are obliged to inform.

Some information cannot be deleted on request where we are required to retain it by law, or where it forms part of your operator’s business records, for example pre-start check records, defect reports and compliance logs. We will tell you if this applies and what we are retaining.
You can request deletion of your account and personal data from inside the App under Account > Delete account, on the web at pastinsolutions.com/account-delete.html, or by emailing admin@pastinsolutions.com.
We also delete accounts automatically 3 months after your last sign-in. Deleting your account removes your profile, credentials and personal identifiers. Operational records that your employer or fleet operator owns and is legally required to keep will be retained by them, and where practicable de-identified. Deletion completes within 30 days and is not reversible.
Where a fleet operator or employer has issued you an account, that organisation decides what is collected, who sees it and how long it is kept, within the limits of this policy. They can view your location during work periods, your shift and break times, job completion data, pre-start checks, defect and damage reports including photos, and any other records you submit. We provide the data to them under our contract with them.
Questions about how your employer uses that data, including workplace surveillance notices required in your state or territory, should go to your employer in the first instance. We will still handle any access or correction request you send us, and will pass it on where they are the controller.
The App is a workplace tool intended for licensed commercial drivers and fleet staff. It is not directed at children and we do not knowingly collect personal information from anyone under 16. If we learn we have collected such information, we will delete it. Contact us at admin@pastinsolutions.com if you believe this has occurred.
We may update this policy. The “Last updated” date at the top will change, and material changes will be notified in the App or by email at least 14 days before they take effect. Continuing to use the App after a change takes effect means you accept the updated policy. Previous versions are available on request.
Privacy enquiries and complaints:
We will acknowledge a complaint within 5 business days and respond substantively within 30 days.

This section applies only while you are using a pre-release build of the App, distributed through Apple TestFlight (iOS) or Google Play internal, closed or open testing (Android). It does not apply to the published App Store or Google Play version.
Pre-release builds connect to development and user acceptance testing servers operated on our behalf by a contracted development partner at trucks.newey.id.au, hosted in Australia. Data you enter or generate in a pre-release build, including account details, location, shift and job records, pre-start checks, defect reports and photographs, is stored in that environment rather than in our production system. From time to time we engage contractors for development, testing and support, and during those engagements the App may be pointed at a user acceptance testing (UAT) version of the service rather than production. Information held in a UAT environment is treated to the same standard as production data under this policy, with one difference: it is destroyed at the conclusion of the UAT session.
While testing:
Do not use a pre-release build for records you are required to retain, unless we have confirmed in writing that the environment is approved for that purpose.
We do not sell or share personal information as those terms are defined under the California Consumer Privacy Act. California residents may request access to, correction of, or deletion of their personal information, and will not be discriminated against for doing so. Requests go to admin@pastinsolutions.com.
